Privacy & Security Policy

BillMile is built to help owner-operators turn paperwork into a ready-to-send invoice or evidence package through WhatsApp. This policy explains what information is processed, how sensitive data is handled, and what controls exist around support, retention, and deletion.

Product scope

BillMile prepares documents and evidence packages. It does not act as a freight broker, factoring company, or money mover in this phase.

User control

The workflow is human-in-the-loop: BillMile extracts the information, but the user confirms the totals before a PDF is finalized.

1. Data minimization

BillMile only processes the documents and fields required to prepare invoices and operational evidence packages, such as RateCons, Proofs of Delivery (PODs), Bills of Lading (BOLs), and scale or lumper receipts.

2. Identity checks and restricted data

During onboarding or recovery, BillMile may require identity validation to reduce account takeover or fraud risk. Photographs of a CDL, selfies, or other restricted data are treated as sensitive onboarding material and are not intended for long-term retention.

3. Data sharing and third parties

BillMile uses infrastructure and AI services to extract document data and support the workflow. Documents are processed only to deliver the service, not to provide routine compliance reporting on behalf of the user.

4. Security controls

BillMile assumes public networks can be hostile. Messages are transported through WhatsApp infrastructure, while documents and extracted fields are expected to be protected with access controls, logging, and secure storage practices on the BillMile side.

5. Deletion and account control

Users can request account closure or data deletion through support or supported conversational commands, subject to any legitimate retention requirement related to billing, dispute handling, or legal recordkeeping.
